Overview of Assignment
For this week’s assignment, we will be adding some new components and updating existing components. Below is a list of the new items you will be adding to your Integrated Project Plan:
Risk Management Plan
Risk Register
Contingency Reserve Policy & Request
Quality Management Plan & Statement
Integrated Change Control Process & Change Request Form
Procurement Plan
Performance Evaluation Plan
WBS Dictionary/Recommendations
Human Resource Plan
Project Closure Plan
Project Lessons Learned Template
Team Lessons Learned Template
Project Baseline Statements
Part 1: Risk Management Plan
You do not need a full Risk Management Plan. Limit this section to 1-2 pages. Be very specific as to your project’s approach to risk management – in your IPP. In other words do not spend time and effort discussing in general terms the Risk Management Process groups.
Be specific to the Capstone Project. What is the methodology to be used in your risk approach? How will risks be identified? Analyzed (qualitative? quantitative?)? What is the process for Monitoring and Controlling? Consider roles/responsibilities, definitions of probability and impact. What is the timing for risk work? How will it be paid for? The PMBOK has a good template to use as the basis of your Risk Management Plan.
Part 2: Risk Register
You will use the attached risk register to report the results of your risk analysis and to guide your risk analysis. To complete the risk register, you will need to complete the following steps:
Identify at least 12 to 15 risks. Write a clear risk statement for each risk based on the template given in the lecture. If clear risk statements are not written for each risk, your grade will be greatly reduced.
Perform qualitative analysis on all risks, creating a probability and impact matrix similar to one in either the reading or the lecture
Perform quantitative analysis using Expected Monetary Value on at least 8 risks; you may use the example templates covered in the lecture to support this analysis, or one from the reading or a past course
Identify the risk response type and provide a description of the risk response plan
Assign a person responsible for monitoring each risk and implementing the risk response plan
Please note that the risk register is not your risk management plan. This is your risk statement, includes the analysis of each risk, identifies the owner and triggers, defines the risk response strategy and the contingency plan for each risk. It is prepared using the guidelines in the Risk Management Plan as the approach.
Please note that you will need to update your MS Project Plan file to account for these activities within your PM Processes section of your WBS, if needed. Please note all changes in the Project Summary Task Notes Section and for each Activity that was added.
Submit the Risk Register as a separate file to this assignment link utilizing the template attached to this page.
Part 3: Contingency Reserve Policy & Request
Based on your risk assessment and analysis, you should be ready to request a contingency amount for your project. For this section, you need to make a specific statement as to the amount you are requesting, and as part of that request, you need to show justification for the amount based on your risk analysis. Additionally, you need to draft a reserve policy that addresses the following: 1) When contingency funds may be used; 2) How funds are requested; 3) Who authorizes the use of contingency funds.
Insert your contingency reserve policy and request into your IPP document. This section should be 2-3 paragraphs long.
Part 4: Quality Management Plan & Statement
Similar to the Risk Management Plan, you do not need a full Quality Management Plan. Limit this section to 1-2 pages. Be very specific as to your project’s approach to Quality management – in your IPP. In other words do not spend time and effort discussing in general terms the Quality Management Process groups.
For the quality management plan, you need to develop a quality plan that includes the following items:
Any applicable quality standards, linking them to the major deliverable(s) (for example Level 2 Deliverable) to which they apply. For instance, what standards should the deliverable conform to?
Policies and procedures the project will follow to ensure the quality standards are met (Will you perform onsite inspections?)
The methods or means you will employ to ensure and verify that the quality plan is followed (How will you document and prove that you have taken reasonable steps?)
Person(s) responsible for managing the project quality
You may choose to provide such information in a matrix or register. You can preview the links to the sample quality plans in the ‘reading’ folder for ideas. I am not expecting anything as complete as the sample quality plans, but I want to see adapt a quality plan appropriate and specific for the contents of this project.
Insert your quality plan into your IPP document.
Please note that you will need to update your MS Project Plan file to account for these activities within your PM Processes section of your WBS, if needed. Please note all changes in the Project Summary Task Notes Section and for each Activity that was added.
Part 5: Integrated Change Control Policy & Change Request Template
In two to 4 paragraphs, you need to create a change control policy that will guide the work of your project, as well as, a change request template. The policy need not be long (a few paragraphs to 1 page).
It should adequately answer the following questions:
How should change requests be submitted? (should a specific form be used?)
Who will be responsible for reviewing the change request?
Who has the authority to authorize a change request? (Is there a differentiation depending on the size / scope of the request?)
Who will be responsible for implementing the change request?
Who will be responsible for updating the project plan?
As you think through the design on the change request form, please feel free to do some research by locating other change requests forms. Create a form that fits this project context based on your assigned readings and research, as well as its ability to provide adequate information.
Include your Integrated Change Control Policy in your IPP document.
Submit the Change Control Request Form as a separate file to this assignment link.
